Essential Services for Your New Office

It is an exciting time when you are moving to a new office or new premises for your business, but it can also be stressful. When setting up your new office, you will not only have to move a lot of material but you will also have to set up new services for your office. These types of services will usually include:

  • Office Cleaning – You may want to have a post moving clean as well!
  • Internet and Networking – If you want your office to be able to communicate effectively, this is vital!
  • Office Supplies – This needs to be an ongoing process but your initial orders will be larger.
  • Utilities – You won’t be able to get started without at least some electricity.

Office Cleaning

Having regular office cleaning services organised is important and it will depend on the size of your office and number of employees as to how often it should be cleaned. If you have these services provided by a company, you should also check if they provide industrial cleaning if you have an attached warehouse or workshop. Having the same company provide a few services will give you some leverage when negotiating contracts.

Internet and Networking

Without internet and networking capabilities, most offices will cease to function efficiently. Not only will these need to be ordered, but in most cases they will need to be set up by a professional unless you happen to have a network administrator on the team. Even if you do, chances are they will at least require some temporary assistance for such a large job.

Make sure that there is an easy way for employees to access any company wireless internet routers. This may involve preparing a cheat sheet or having your in-house IT expert (or outsourced one) to come around to each employee. Have all of your internet and networking systems checked thoroughly before moving everyone into the office as well.

Office Supplies

Office supplies is such a broad term that it can mean everything from paper right through to rewritable DVDs. The best way to deal with this is to have a specific office co-ordinator that helps out with the day-to-day running of the office. This also creates a go-to person for any questions or concerns about the internal running of the office.

You will also need to set aside space for a good amount of office supplies to be bought as an initial order. Make sure you have plenty of pens, paper, notebooks and even spare keyboards. You might also want to have a whiteboard or book where staff can jot down anything they believe should be ordered with the office supplies.

Utilities

This is an easy one to forget, but if you are in a commercial office then chances are you will have to negotiate the cost of your electricity or gas connection. Make sure you have an idea of what your monthly cost will be as well as ways to increase efficiency around the office. If you are running a lot of computers, make sure your staff members understand that they should shut them down after they are finished using them.
